CLIENT PORTAL AND HANDOVER

Share the right project information

Choose what clients can see, keep shared material deliberate, and use one project place for updates and conversations.

Set up a client portal for the project

Invite the project's client and manage which project stages, claims and documents are shared with them. Shared documents are selected for the client view rather than exposing the whole project file area.

Clients can follow the updates, choices, messages and claim information made available for their project.

Before the job is won, send the client your price. The portal then shows only Your price, where they can ask a question, accept with a typed name and signature, or decline. The other pages open once the job is won.

Post progress updates with photos

Write a progress update in plain language, add photos and save it as a draft before sharing it with the client.

Sharing an update makes it visible in the client's project view and notifies them by email. Keep a list of drafts and previously shared updates.

Keep client messages with the conversation

Start a message thread for a project topic and keep replies together. The client and project team can refer to the same conversation rather than losing decisions in separate message trails.

The other party is notified by email when a reply is sent.

CLIENT PORTAL AND HANDOVER

Move decisions and handover forward

Connect choices and close-out records to the project, including what is still needed and who needs to act.

Collect client selections and approvals

Create a choice with an allowance and options, then send it to the client to select. Record the chosen option and any note in the project.

If a choice exceeds its allowance, the difference can be put to the client to sign through a variation. A choice can also be linked to the task that needs it and its required date.

Capture defects during a handover walk

Walk the project and capture unfinished or faulty work by location, with one item per line. Assign a business to fix it and a due date when known, then attach photos for follow-up.

Track open handover defects in a list. A milestone can be held until the relevant defect list is clear.

Prepare handover items and remaining obligations

Build a handover pack of items the client needs at the end of the job, with a checklist of what remains before practical completion.

Record obligations that continue after handover, such as a warranty document or retention release, with a due date and reminder.

COMMON QUESTIONS

Client portal and handover, clearly explained.

Does the client automatically see every project document?

No. The project team selects which documents are shared and can control whether project stages and claims are shown in the client view.

Can a client choice change the contract amount?

A choice over its allowance can be sent as a variation for the client to sign. The choice itself records the options and selection.
