PEOPLE AND SUBCONTRACTORS

Build a clear picture of the businesses you work with

Keep company-wide subcontractor records separate from each project's agreed work and site requirements.

Manage a searchable subcontractor directory

Keep a company directory of subcontracting businesses, with their business identity, trade and active or archived status. Search by name, business number or trade.

Engage a business on a project and record the work it has agreed to do. Project engagement keeps the trade's scope with that job rather than treating the company directory as the project plan.

Set site requirements for engaged trades

Define what is required for a project, then review readiness by engaged business and its invited workers. The readiness view shows which people meet the recorded requirements and which are still blocked.

Requirements and access are project-scoped. A business being in the directory does not, on its own, grant a worker access to every project.

Ask workers to acknowledge a site induction

A project can require an induction. Workers read what the builder has written and acknowledge it, and the acknowledgement counts towards their readiness for site.

This is a record that a worker read and acknowledged the induction. There is no quiz or pass mark, and the white card is kept as a credential.

Review dated subcontractor history

See recorded jobs, credential checks, issues and incidents involving a business across projects, with dates and links back to the source records.

This is factual history, not a score or ranking. Restricted incident cases are not included, and being named in an incident does not mean the business was at fault.

PEOPLE AND SUBCONTRACTORS

Check credentials through scoped sharing

Credentials belong to the person or business that holds them. A contractor can share what is needed with a company, and authorised reviewers can check the shared record.

Keep personal and business credentials in a Vault

Store licences, tickets, insurance and other credentials against the person or business that holds them, rather than making one contractor's record belong to a single builder.

Share credentials with a company for a defined purpose, and manage or revoke that access through the sharing controls.

Review licences and insurance shared with your company

See credentials waiting for review, search by holder or credential details, and check a licence against a supported issuing register where one is available.

A reviewer can record the result and method of a check. Register coverage varies by credential and jurisdiction, so a missing automated check is not presented as a verified result.

Let clean register matches be recorded automatically

For credentials shared with a company that has a reviewer, Novato checks again when a credential changes, a month after the last check, and when a register file is refreshed. A clean match from a supported register is recorded as an automatic check, with no person named.

Anything a person must decide, such as a different name, a licence class that does not match or a register file that is too old, is left in the review queue. Automatic checks cover NSW licences and the Victorian and Queensland builder registers. Other states stay with a reviewer.

Keep expiry and renewal status in view

Review shared insurance and other credentials by their current, expiring or expired status. The credential record retains its holder and expiry information for follow-up.

A check is a dated review of the credential that was shared. It does not replace checking the source document or the insurer's current requirements.

COMMON QUESTIONS

People and subcontractors, clearly explained.

Does a subcontractor record automatically make a worker ready for site?

No. Readiness is checked against the requirements recorded for that project and the people engaged on it. A directory entry alone is not a site approval.

Does Novato rank subcontractors?

No. The history view presents dated facts and links to source records, it does not score or rank businesses.
