Getting started

Open the project, click "Assign a Tradie", and select from your subcontractor list — they get a single upload link by text or email, no account or login required on their end.

Links expire 14 days after they’re sent, for security. Re-send the assignment from the project page to generate a fresh link.

Yes — from Settings, add a team member by email. What they can see and do depends on the role you give them.

SWMS

Victoria runs under its own OHS Act rather than the harmonised WHS laws the rest of Australia shares, so SWMS generation isn’t available there yet — this is a known gap, not a bug.

Very large SWMS can take a bit longer to generate — you’ll see a "still working" status if it’s taking a while, so it’s not stuck. If it does fail, you’ll get a specific message telling you what to do next. Try narrowing the task description or splitting into two SWMS covering fewer categories each.

There’s no in-place editing today — review every step in the preview, then either approve it as-is or delete the draft and regenerate with an adjusted task description or hazard categories to get different content. It’s a fast regenerate, so tweaking the inputs and running it again is usually quicker than manual edits would be.

Toolbox Talks

Each Toolbox Talk gets a shareable link your crew can sign from their own phone — no login, and it stays open for the whole crew rather than expiring after one use.

Yes — choose "Manual" as the content source when creating one, and write it yourself instead of generating from hazard categories.

Incident & near-miss reporting

Yes, with no exceptions, including the free trial — logging a real incident should never be blocked by a billing decision.

PDF export has a monthly cap on lower tiers (the incident record itself is never affected). Upgrade for more exports, or view the full incident in-app any time.

Site Induction

Questions are generated from the specific hazards and PPE you’ve configured for that project, not a generic bank — that’s the whole point of it.

Depending on the retake mode you configured, they either get the same question set again or a freshly generated one.

Variation Orders

The client gets a link to review the costed, time-extended Variation Order and accept or reject it with an e-signature — no separate account needed on their end.

Document verification

Our AI compares what a Tradie uploaded against what the requirement actually asked for (e.g. a White Card uploaded against an Electrical Licence request) and flags a mismatch for your reviewer to check before approving — it never auto-rejects, so a false flag just needs a human glance.

When we check a licence against the state register, we also compare the name on the register to the name on the uploaded document. A mismatch is flagged (not blocked) in case it’s someone else’s licence being submitted — small typos, initials, and reordered names are already tolerated and won’t trigger a false flag.

When you reject a document, whatever reason you type is included in the resubmission email the Tradie receives — so they know exactly what to fix instead of guessing from a generic "rejected" notice.

Billing & plans

Creating a new project or assigning another Tradie past your plan’s included allowance now shows an "Add-on" prompt — buy extra slots for a small monthly fee per slot (billed on your existing subscription), or upgrade to a plan with a higher included allowance. Either unblocks you immediately.

Pricing is set per plan tier and shown in the add-on prompt itself when you hit a limit, or on Settings > Plan & Billing under "Add-ons" if you’ve already purchased one.

From Settings > Plan & Billing, click "Remove" next to the add-on. It stays active (and billed) until the 1st of the following month, then is removed automatically — so removing one never disrupts a project you’re actively relying on it for. Note this is a fixed monthly date, not your billing cycle’s renewal date, so the two can differ if you’re on an annual or off-cycle plan.

Existing projects and Tradies are never locked or archived by a downgrade — only new creation past your new plan’s limit is paused, and you’ll see the same add-on/upgrade prompt as anyone else at their limit.

From Settings > Plan & Billing, pick a new plan — changes to price or limits take effect immediately for an upgrade.
